    Capture notes in a fixed shape

    During or right after the call: decisions, open questions, promises (yours and theirs), dates. Bullet fragments are enough.

    So the draft sounds like you. Two is enough; remove customer names first.

    Ask for a short email, not a summary

    Under 150 words: thanks in one line, decisions, who owes what by when, the single next step with a date.

    Check the promises

    Read only the commitments and dates against your notes. This is where a wrong draft costs you.

    Send, then log

    Paste the sent version into the CRM activity.

  • Every commitment and date appears in your notes.
  • Nothing was promised on someone else’s behalf.
  • Names and titles are spelled correctly.
  • It reads like you wrote it.
